Confirm a pick list

In this routine you enter the values that have been marked on the sales order pick list as dispatched.

  1. Select the Confirm sales order pick lists menu item.
  2. You access Pick list confirmation. Complete the following fields:
  3. Note: You may enter a value in only one of these fields: Pick list number, Pick consolidation or Shipment number.

    Pick list number
    Pick consolidation
    If you want to confirm a consolidated pick list, enter a pick consolidation number in this field. See Confirm a consolidated pick list.
    Shipment number
    If you want to confirm a pick list that was created for a shipment, enter the shipment number.
    Dispatch date
    Defaults with today’s date but can be changed. This date updates all confirmed sales order lines as well as the Inventory transaction file.

    Click OK.

  4. You access the second Pick list confirmation panel displaying all lines for a pick list. Complete the following fields:
  5. Qty dsp
    Enter the quantity to be dispatched for each order line. If everything has been delivered on the order lines, click Full dispatch to default the quantity ordered into this field.
    Bch/SN
    This field is only displayed if the item is under batch control or serial number tracking control. It is used to access the batch entry function and the serial number entry function. (See Confirm a pick list with batches and Confirm a pick list with serial numbers).
    Bl
    This is the backlog code for the line. If you set this field to YES, the system creates back order lines for those lines that you are delivering a lesser quantity than ordered. The system creates the back order line either after completing Pick list confirmation, or when you invoice the order. This is defined in the B.log after pl conf field in the Sales order type table. Note: If you change the Backlog code from NO to YES and the Backlog code in the Sales order header is set to NO, the system displays an error message. If you want to backlog this line, you must set the Backlog code on the Sales order header maintenance panel to YES. You can do this by clicking Maintain Order to access the sales order.
    P
    An asterisk (*) is displayed under this column for fictitious item lines that have not been printed on pick lists, i.e. the Fict. item on pick list field is set to NO in the Item type table.

    Function keys
    You have the following alternatives on this panel:

    • Click Shift info to view additional information.
    • Click Full dispatch to default the ordered quantity shown below the Qty ord column heading into the Qty dsp field if everything has been delivered. Then click OK to confirm and proceed with the pick confirmation.
    • You can update the sales order by clicking Maintain Order.

    Enter the quantity delivered and click OK.

  6. You access the third Pick list confirmation panel where you can enter the fees. The fees will be displayed on the invoice and added to the invoice total. You enter these fees per order number, i.e. one line per order number will be displayed, since a pick list can contain several orders. Note: If the order generates back orders, the system invoices these fees only on the first invoice sent to the customer.

    Freight
    Postage
    Insurance
    If you complete this field, you must leave the Ins % field blank.
    Ins %
    If you complete this field, you must leave the Insurance field blank. The system calculates the insurance value as follows:

    Ins % * Total value of all the order lines / 100
    Admin fee
    An administration fee can be created by the system as a set amount and/or amount per order value limit, or it can be entered manually at sales order entry or pick list confirmation. To apply this fee, the order must be valid for an Administration fee (i.e. the Admin fee field must be YES on the order header). Enter the administration fee.
    Inv fee
    An invoice fee can be created by the system as a set amount and/or amount per order value limit, or it can be entered manually at sales order entry or pick list confirmation. To apply this fee, the order must be valid for an Administration fee (i.e. the Invoice fee field must be YES on the order header). Enter the invoice fee.
    Goods marking
    This field is only displayed if you clicked Goods marking and Currency. Here you can enter the text describing the goods marking of the item being dispatched. This is for your reference only and will be presented on different freight documents for a sales order and on the invoice.
    Currency
    This field is only displayed if you clicked Goods marking and Currency. Displays the currency in which the fees should be expressed.

    Click OK. Exit the routine.

    After update
    After entering and updating the quantities dispatched, the following happens:

    • Stock is updated if the order type has Update stock on hand set to YES in the Sales order type table.
    • The order line status is updated to status 40 if the printout of transport note is defined in the Sales order type table, or to status 45, ready for invoicing.
    • Inventory transactions are created for each confirmed pick list line.
    • Transaction types 901 (Stock value) and 907 (Goods in transfer) are created in the Bookkeeping transaction file if the order is an Internal Replenishment Order. For more information see About internal replenishment orders – sales.
