Move stock with batches

The following describes an ordinary stock movement for a batch-controlled item (i.e. from normal stock to another warehouse).

  1. Select the Enter inventory movements menu item.
  2. You access Inventory movements entry. Complete the following fields:

    This field is only displayed if the BtB function has been activated in the DIS control file. Must be set to NO when moving from normal stock, as described here.
    Item
    From warehouse
    (From) Batch
    To warehouse
    (To) Batch
    If nothing is entered, the (From) Batch value will be defaulted.
    Bin loc
    Quantity
    Accounting period
    The system defaults the current accounting period. This value can only be changed if Allow change period is set to YES in Work with IBS user profiles for your user profile.

    Click OK.

    If a value for (To) Batch has already been defined in the warehouse that is receiving the goods, the system creates transactions of type 901 (Stock value) in the Accounting transaction file for both warehouses. It also updates transaction information for 907 (Stock supply) in the Inventory transaction file.

    Note: It is not possible to change a transaction. Enter a new (counter) transaction to correct any errors.

  4. If a value for (To) Batch has not been defined in the warehouse that is receiving the goods, or if that value is not equal to the (From) Batch value, you access Inventory movements entry, Add batch info, where you can enter the following additional information regarding the batch:
  5. Batch retention days
    Defaults from the Item file, but can be changed. This is the number of days that batch information can be kept, after the Last delivery date of this item, before it can be deleted via the Reorganise batch file routine.
    Supplier
    Defaults the main supplier from the Item file, but can be changed.
    Country of origin
    Defaults from the Item file, but can be changed.
    Hold code
    Defaults to NO.

    The following fields are only displayed if the item is date handled:

    Manufacturing date
    Defaults with today’s date.
    Incubation date
    Defaulted with today’s date. Enter a date to indicate how long this batch must be kept in stock before it can be sold.
    Last arrival date
    Enter the latest date that this batch can arrive at the customer’s site. This field is used by the system to retrieve the oldest batches during pick list printout. Tip: If you leave this field blank but complete the Batch security days and Use by date fields, the date will be automatically calculated by the system when you click OK.
    Batch security days
    Goods must be shipped to customers well before the expiry date. Enter the minimum number of days leeway needed between the item’s expiry date and the date it arrives at the customer. This date is typically the difference between the Last arrival date and the Use by date. Another commonly used term for this is the minimum shelf life time.
    Use by date
    Enter the expiry date of the batch. Tip: If you leave this field blank but complete the Batch security days and Last arrival date fields, the system will automatically calculate this date when you click OK.

    Click OK. A new batch is created in the receiving warehouse.
