The following describes how to create a payment proposal and print a control list.
- Select the Work with A/P payment proposals menu item.
- On Work with A/P payment proposals, Overview, click Add to create a new proposal.
- You access A/P payment proposal, Create where you select the criteria for the documents to be included in the proposal. At this stage the payments are preliminary. Complete the following fields:
- Proposal description
- Enter a description of the payment proposal.
- First payment date
- Enter the first payment date for the documents included. Documents with a due date earlier than this date will be paid on the date you enter here.
- Last payment date
- Enter the last payment date for the documents included. Documents with a later due date than this date will be paid on the date you enter here.
- Select on due date
- Set to YES to include all documents with a due date between entered from/to in the payment proposal. Set to NO to include all documents with cash discount date or due date between entered from/to date in the payment proposal.
- You access A/P payment proposal, Create proposal for the extended selection possibilities and if you want to request a control list.
- Highest amount
- In this field you can enter a maximum amount to settle documents of smaller amounts. For example, if you enter 100, only documents with amounts up to 100 will be included in the selection, regardless of due date. Note: The limit entered is for the document amount in system currency. Documents of larger amount are not included even if they are due for payment.
- Total amount
- Only shown if only one payment mode is selected on the previous panel. You can enter a total amount in system currency for the proposal. For example, if you have a limited amount in your bank account.
- Print control list
- Indicate if you want to print a control list. Note: You can always print one later by clicking Print on the Overview panel for the proposal.
- You access A/P payment proposal, Control list, if you have requested a control list on the previous panel. Template handling is implemented in this program. The active template is indicated in the right-hand corner of the header. Use the following function keys to work with the template:
- User/Std template: Toggle between showing the control list values according to the template saved for your IBS user profile, or according to the standard template. If a user template is not saved, then click Save user template when you have entered the applicable values in the sequence and selection fields.
- Save user template: Save the sequences, selections, and specification criteria you make per list type for your IBS user profile. The saved values are defaulted to this panel the next time you access it. If you change them, then use this function key again to update your user template.
- Delete user template: Delete your latest saved user template.
- Payables
- Indicate if payable documents should be printed on the control list.
- Not payables
- Indicate if documents that are, by definition, not payable should be printed on the control list. This is, e.g., documents that are preliminary, those that are not approved for payment, a supplier with a payment mode that is not valid or documents with a payment stop code.
Enter the selection parameters if you only want to include specific documents in the payment proposal. Note: If you leave the “To” part of the Due date selection field blank, then it is automatically completed with the Last payment date after clicking OK. All documents with due date up to the last payment date are included.
Click OK to update the entries.
Sequence the list depending on the type of information you need. You can print up to three different lists, and sequence them differently.
Click OK to submit the proposal creation. The system will inform you when the proposal is ready.
